Employee Schedule Calculator

Most overtime is not a payroll problem — it is a scheduling problem. Enter your coverage needs and headcount and see how many hours your team is short, how much of that turns into overtime, and whether one more hire would cost less.

Coverage & Team

Typical hourly teams lose 6–10% of planned hours to sick days, no-shows, and approved leave.

How schedule coverage turns into overtime

Overtime rarely starts on payday. It starts on the day a manager builds a schedule with fewer people than the coverage math requires, then patches the holes mid-week with whoever answers the phone. By Thursday the person who picked up two shifts is at 46 hours, and the FLSA premium is already owed whether or not anyone signed an approval form.

The fix is arithmetic, not willpower. Calculate the staffed hours your operation genuinely needs, add a realistic buffer for absence, and compare that number to the hours your current team can supply below 40. Whatever is left over is your structural overtime — the part that repeats every single week until headcount or opening hours change.

Three scheduling habits that cut overtime fastest

Publish early. Schedules released the week before give employees time to trade shifts instead of forcing a manager to hand extra hours to whoever is already closest to 40.

Watch running totals, not final ones. A mid-week hours report costs nothing and is the single most effective overtime control there is.

Cross-train deliberately. When only one person can close the till or run the machine, that person absorbs every gap. Two qualified people per critical task spreads coverage across the team.

Once you know your overtime hours, price them properly with the overtime planning calculator, and check the legal side against your state rules — daily overtime states change these numbers substantially.
